PURPOSE OF THE POSITION

We are seeking a detail-oriented, proactive professional experienced in collaborating with external payroll service providers across different regions. Your role will be pivotal in optimizing processes as we move towards an internal insourcing model within a shared service framework.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinate with external payroll service providers for seamless global payroll processing for 1100 employees.
  • Oversee internal payroll operations within Workday, including data entry and basic configurations for USA payroll.
  • Manage Union payroll for the USA.
  • Ensure accurate and timely payroll processing across multiple countries.
  • Maintain payroll records, including taxes, deductions, and benefits.
  • Ensure compliance with global payroll policies and procedures.
  • Offer comprehensive support to employees on payroll and benefits-related queries.
  • Collaborate with HR and accounting teams to ensure data consistency across systems.
  • Conduct periodic payroll reconciliations and audits for accuracy and compliance.
  • Input necessary data into the payroll system according to the monthly schedule.
  • Implement enhancements in payroll processes to boost efficiency and minimize errors.
  • Support HR processes impacting payroll, from onboarding to employee offboarding.
  • Facilitate communication on payroll matters across different regions and cultures.
  • Manage service level agreements (SLAs) and work on enhancing them with external vendors.
  • Monitor outsourcing costs and handle negotiations for new deals or requests.

DESIRED BACKGROUND

  • Bachelor's degree in accounting, finance, human resources, or a related field.
  • 3 to 5 years of proven experience as a Payroll Specialist handling global payroll operations.
  • In-depth knowledge of international payroll processes, tax laws, and regulatory requirements.
  • Experience with various payroll systems and external vendors.
  • Strong analytical skills with acute attention to detail.
  • Excellent communication and interpersonal skills for effective collaboration across teams and cultures.
  • Ability to prioritize tasks and manage workload efficiently.
  • Proficiency in creating process documentation and mapping.
  • Knowledge of Workday as an HCM system (a plus).
