Executive Assistant – Startup Operations & Founder Support

About the Role

We're looking for a sharp, highly organized
Executive Assistant
to support the co-founders across
2–3 growing startups
. This role goes beyond calendar management—you'll be deeply involved in day-to-day operations, customer communication, and helping founders stay focused on high-impact work.

If you thrive in ambiguity, move fast, and enjoy wearing multiple hats, this role is for you.

Key Responsibilities

Founder & Executive Support

  • Manage calendars, scheduling, follow-ups, and priorities for co-founders
  • Track tasks, deadlines, and commitments across multiple businesses
  • Prepare briefs, notes, summaries, and internal documents
  • Act as a gatekeeper and point of coordination for inbound requests

Operations & Task Management

  • Own and manage task lists across teams, tools, and projects
  • Follow up with internal stakeholders to ensure execution
  • Help implement and maintain systems (CRM, project management, docs)
  • Assist with research, vendor coordination, and light bookkeeping tasks

Customer & External Communication

  • Communicate with customers via email, chat, and phone when needed
  • Handle basic customer inquiries, scheduling, and follow-ups
  • Coordinate between customers and internal teams to resolve issues
  • Maintain a professional, calm, and solutions-oriented tone

Cross-Startup Support

  • Switch context seamlessly between 2–3 startups
  • Help standardize processes across businesses where possible
  • Identify inefficiencies and proactively suggest improvements

What We're Looking For

  • 3+ years experience as an Executive Assistant, Operations Manager, or similar role
  • Experience working with founders or leadership teams
  • Strong written and verbal communication skills
  • Highly organized, detail-oriented, and reliable
  • Comfortable dealing with customers and external partners
  • Tech-savvy (Google Workspace, Notion, ClickUp, Slack, CRM tools)
  • Able to prioritize in fast-moving, sometimes ambiguous environments

Nice to Have

  • Startup, SaaS, or agency experience
  • Experience supporting multiple executives or businesses
  • Customer support or account coordination background
  • Process-building mindset
