The Billing and Invoicing Coordinator is responsible for the accurate and timely creation,
distribution, and filing of all customer invoices and related documentation. This role is critical to
the company's cash flow and requires meticulous attention to detail, strong organizational skills,
and efficient use of our billing software.
Key Responsibilities
● Generate customer invoices daily/weekly using data pulled from the Transportation
Management System (TMS) and other operational logs.
● Verify freight rates, accessorial charges, and fuel surcharges against established
contracts and service records to ensure billing accuracy.
● Ensure all necessary supporting documents (e.g., Bills of Lading (BOLs), Proof of
Delivery (PODs)) are attached to the final invoice package.
● Distribute invoices to customers via email, mail, or electronic submission portals,
adhering strictly to each customer's required format and submission timeline.
● Maintain and update customer billing information and contact details.
● Maintain a highly organized digital and physical filing system for all invoices, payment
records, and supporting documents for easy retrieval and auditing.
● Prepare documents for electronic archiving and ensure all records comply with company
retention policies.
● Serve as the first point of contact for internal and external billing inquiries, redirecting
complex payment or collection questions to the Accounts Receivable team.
● Assist with basic data entry and administrative tasks as needed by the Finance
Department.
Qualifications
● High School Diploma or equivalent; additional business or administrative coursework is a
plus.
● Minimum 2 years of experience in an administrative, clerical, or data entry role,
preferably within a logistics or corporate environment.
● Strong proficiency in Microsoft Excel and familiarity with standard office software.
● Experience using billing or accounting software (training on our specific TMS/ERP
system will be provided).
● Exceptional attention to detail and a high degree of accuracy with numerical data.
● Excellent organizational skills, with the ability to manage a high volume of paperwork
and digital files.
