Description
The Medical Records Coordinator serves as the primary liaison within the Medical Records department, ensuring the accurate and timely processing of patient treatment documentation. This role is responsible for verifying requestor credentials, maintaining compliance with HIPAA privacy regulations, and ensuring records are delivered efficiently to authorized parties. Working cross-functionally with internal teams and external partners, the coordinator supports the integrity and flow of legal and medical data essential to the organization's operations.
Requirements
- Fluency in English
(B2)
and Spanish, with a strong command of grammar and vocabulary in both. - Own a reliable computer with a stable internet connection.
- Working knowledge of
HIPAA
and
medical insurance regulations and terminology
. - Experience working with
electronic medical record (EMR) systems
or similar platforms. - Proficiency in
Microsoft Office
, especially
Excel
. - Ability to manage
high-volume patient record updates
accurately and efficiently. - Experience maintaining logs, files, and tracking systems in a fast-paced environment.
- Strong written and verbal communication skills, with experience communicating with attorneys, case managers, and patients.
Responsibilities
- Conduct quality assurance checks to verify record accuracy and completeness.
- Identify and flag discrepancies or inconsistencies in case information.
- Communicate with law firms, insurance companies, medical facilities, and third-party retrieval vendors to facilitate records requests.
- Verify requester's information and relationship to patients to maintain compliance with HIPAA and other privacy laws.
- Collaborate with U.S.-based team counterparts to ensure seamless process execution.
- Participate in weekly meetings with the Medical Records team to discuss trends, performance, and improvement opportunities.
- Maintain detailed logs, files, and tracking systems to ensure timely delivery and proper documentation of records.
- Support internal and external stakeholders by providing updates and resolving inquiries promptly and professionally.
- Take part in projects related to process improvement, workflow development, and data accuracy initiatives.
