Patient Coordinator - Medellín

Full Time - On-site, Contractor (Direct Hire)

Position Summary

The Patient Coordinator is a critical operational role in a fast-paced pain management practice. This position requires a highly organized, proactive professional who can manage multiple tasks for each patient while maintaining accuracy, urgency, and accountability. The ideal candidate performs consistently under pressure, anticipates issues before they disrupt clinic flow, and takes ownership of ensuring patients are fully prepared, scheduled, and documented across complex treatment pathways. Reliability, punctuality, and the ability to communicate clearly with patients and clinical staff are non-negotiable.

This role is not transactional, it requires judgment, prioritization, and follow-through on high-volume, high-stress days.

What You'll Do:

  • Coordinate and schedule new and existing patient appointments in alignment with provider availability and clinical priorities
  • Manage the full new-patient intake process, ensuring all required records, referrals, and documentation are obtained, reviewed, and uploaded before appointments
  • Actively follow up with patients, referring providers, and internal staff to resolve missing information, incomplete records, or scheduling conflicts
  • Import, organize, and maintain accurate patient records in the EMR, including outside medical records, insurance information, orders, consents, operative notes, procedures, and therapies
  • Handle multiple tasks for individual patients simultaneously (scheduling, records, insurance verification, follow-ups) without losing accuracy or timelines
  • Communicate clearly and professionally with patients who may be in pain, frustrated, or under stress, while maintaining clinic standards and workflow
  • Anticipate scheduling or documentation issues and take initiative to resolve them without waiting for direction
  • Maintain detailed documentation of work processes and updates as required
  • Collaborate closely with nurses, providers, and administrative staff to ensure smooth daily operations
  • Uphold punctuality, reliability, and accountability in a role where delays directly impact patient care and clinic efficiency
  • Perform additional duties as assigned, with flexibility during high-volume periods

What You'll Bring to the Team:

  • Strong spoken and written English (C1+)
  • 1+ year of experience in healthcare customer service, intake, scheduling, or patient coordination
  • Experience working with EMR systems (intake, scheduling, records management)
  • Proven ability to multitask and prioritize in a fast-paced clinical environment
  • Strong attention to detail and follow-through
  • Clear, respectful communication style, especially in difficult or high-pressure situations

Preferred

  • Experience as a Patient Coordinator or New Patient Intake Coordinator
  • Background in pain management, specialty care, or complex medical workflows
