ROLE OVERVIEW

About the Client: Design Alternatives is a premier Design-Build firm specializing in interior renovations for commercial properties, including residential homeowner communities, senior care facilities, and hospitality venues. We offer a turnkey solution, integrating interior design, construction, and procurement to streamline projects for our clients. Over 35 years, we have completed over 5 million square feet, 400 projects and earned a 75% repeat customer rate.

About the Role: The Senior Procurement Specialist supports the full lifecycle of vendor management and purchasing operations, ensuring accuracy, timeliness, and compliance across all Design Alternatives projects. This role bridges procurement, logistics, and project operations to maintain smooth handoffs from design through installation.

Key Responsibilities

Procurement Administration

  • Process and track Change Orders and Purchase Orders in coordination with Accounting and Project Management.
  • Enter and maintain Work Orders and POs with correct coding, phase allocation, and project references.
  • Notify relevant stakeholders of job cost variances or purchase discrepancies.

Vendor & Subcontractor Management

  • Onboard suppliers and subcontractors; review W-9s, COIs, licenses, and insurance.
  • Maintain vendor compliance documentation and update supplier/subcontractor databases.
  • Conduct supplier and subcontractor information reviews for completeness and accuracy.

Sourcing & Quotations

  • Conduct sourcing research and evaluate supplier proposals.
  • Request, review, and compare FF&E quotes for accuracy, lead time, and specification
  • alignment.
  • Coordinate supplier communication from PO submission through production release.

Logistics & Tracking

  • Track long-lead procurement freight status, from order confirmation to delivery.
  • Coordinate receiving and delivery logistics to align with project install schedules.
  • Support field coordination for product arrivals and deliveries.

Vendor Engagement

  • Plan lunch & learn sessions and trade events aligned with procurement strategy.
  • Maintain supplier relationship calendars and communication cadences.

Ideal Candidate Profile

  • Bachelor's degree or equivalent practical experience in Supply Chain Management, Business, or related field
  • 4-6 years of experience in procurement, long-lead logistics, or operations within construction or FF&E industries
  • Experience issuing statements of work, purchase orders, work orders or other contractual order forms
  • Experience researching, evaluating and recommending suppliers based on price-performance and commercial requirements

Required Skills Qualifications

  • Fluent in spoken and written English
  • Proficiency in Google Workspace and Excel (lookups, variance reporting)
  • Strong attention to detail and ability to manage 15+ concurrent projects
  • Ability to analyze product specifications, proposals, and vendor quotes
  • Understanding of contracting, the contracting process, and standard contract terms

Preferred Qualifications

  • Experience using project or procurement software (e.g., Asana, Monday, or ERP systems)
  • Knowledge of Incoterms, freight classes, and basic construction documentation
  • Prior experience in a design-build or furniture procurement environment
  • Experience developing a comprehensive sourcing strategy and negotiating vendor terms
