Position Overview
The Medical Dispatcher plays a critical role in ensuring the smooth coordination of mobile IV therapy appointments. This role serves as the central communication hub between clients, IV Therapists, and internal teams. The Dispatcher ensures appointments are properly scheduled, confirmed, monitored, and documented while maintaining professionalism, accuracy, and compliance with company protocols.
This position requires strong organizational skills, calm decision-making, and excellent communication in a fast-paced, patient-centered environment.
Key ResponsibilitiesScheduling and Coordination
Schedule and assign mobile IV therapy appointments based on therapist availability, location, travel time, and service requirements
Confirm appointments with clients and IV Therapists prior to dispatch
Monitor real-time appointment status and adjust schedules as needed
Coordinate coverage for last-minute changes, cancellations, or urgent requests
Serve as the primary point of contact between clients and IV Therapists before and during appointments
Communicate clearly and professionally via phone, text, and internal messaging platforms
Escalate medical or operational concerns to the appropriate clinical or leadership team
Ensure IV Therapists follow pre-arrival communication protocols with clients
Maintain accurate records of appointments, cancellations, travel time, and outcomes
Document incidents, delays, or protocol deviations according to company SOPs
Track unfulfilled appointments and assist with follow-up or rescheduling
Support payroll and payout verification by confirming appointment completion and eligibility
Assist with managing therapist availability schedules and coverage planning
Support adherence to company policies, medical protocols, and dispatch procedures
Collaborate with operations, HR, and clinical leadership as needed
Contribute to continuous improvement of dispatch workflows and processes
Required
- Preferable a Registered Nurse
Previous experience in dispatch, scheduling, healthcare coordination, or customer service
Strong verbal and written communication skills
Excellent organizational and time-management abilities
Ability to remain calm and professional in high-pressure situations
Comfort working with scheduling systems, messaging platforms, and basic reporting tools
Experience in healthcare, mobile services, or medical staffing coordination
Familiarity with HIPAA-compliant communication practices
Experience supporting independent contractors or mobile clinical teams
Attention to detail and accuracy
Problem-solving and decision-making
Multitasking and prioritization
Professional discretion and confidentiality
Team-oriented mindset with strong accountability
Remote or hybrid work environment
May include evenings, weekends, or holidays depending on operational needs
