About Us

We are seeking a reliable and detail-oriented Lead Intake & Appointment Coordinator to support daily operations and lead follow-up for a growing service-based business. This role is ideal for someone with strong phone skills, administrative experience, and the ability to manage inbound and outbound communication efficiently.

You will be responsible for contacting leads, responding to inquiries, handling calls, and scheduling appointments once trained.

Key Responsibilities

  • Make outbound calls to all incoming Facebook leads.
  • Follow up with leads via email and text messages.
  • Respond to email inquiries using pre-approved email templates.
  • Answer inbound phone calls, provide basic information, and either warm-transfer calls or take detailed messages.
  • Schedule appointments based on service location and assigned regions after completing training.
  • Update and manage lead information and appointment status in HubSpot CRM.
  • Use RingCentral for phone communication and Jobber for scheduling.
  • Maintain accurate records and tracking using Gmail, Google Drive, and spreadsheets.
  • Support general administrative tasks as needed.

Requirements

  • Strong attention to detail and organizational skills.
  • Excellent phone communication skills and professional tone.
  • Previous experience in administrative, customer service or appointment setting.
  • Comfortable making outbound calls and handling follow-ups.
  • Experience with CRMs and scheduling tools (HubSpot, Jobber preferred).
  • Ability to work full-time and manage tasks independently.
  • Strong written and verbal English communication skills.
