Job Summary

We are seeking a highly organized and professional Bilingual Virtual Receptionist to support our property management team. This role requires fluency in both Spanish and English, excellent communication skills, and a strong background in office management and clerical duties. The Bilingual VA Receptionist will handle inbound communication from residents, leasing prospects, and maintenance vendors, ensuring every inquiry is properly addressed or routed. This role requires someone who is fluent in both English and Spanish, with strong customer service skills and the ability to work within structured property management workflows.

Key Responsibilities

Resident & Prospect Reception

  • Answer inbound calls, texts, and messages from residents and prospects.
  • Provide basic information about property policies, rental availability, payments, and procedures.
  • Assist Spanish-speaking residents with clear and professional communication.
  • Capture caller details and needs accurately.

Leasing & Maintenance Coordination Support

  • Route leasing inquiries to the leasing team and schedule tours or callbacks as needed.
  • Create maintenance tickets, collect required information, and assign tasks to the correct team.
  • Follow up on high-priority issues and ensure calls are documented.

Task Routing & Documentation

  • Log all communication into property management systems or Asana.
  • Assign tasks to Leasing, Maintenance, Collections, or Administrative teams.
  • Provide timely updates, notes, and follow-through.

General Administrative Assistance

  • Update resident contact information.
  • Assist with appointment scheduling and calendar coordination.
  • Support the team with light administrative tasks.

Qualifications & Requirements

  • Bilingual proficiency in Spanish and English is mandatory (strong speaking and writing skills required).
  • Previous office experience or clerical background preferred; experience in property management or medical/dental reception is a plus.
  • Minimum 2 years of customer service or receptionist experience, ideally in property management or real estate.
  • Strong computer literacy, including proficiency in:
  • Microsoft Office Suite (Word, Excel)
  • Experience with data entry, filing systems, proofreading, and general administrative tasks.
  • Excellent organizational skills with the ability to manage time effectively in a remote setting.
  • Demonstrated customer service skills with professional phone etiquette and strong communication abilities.
  • Ability to work independently with minimal supervision while maintaining accuracy and attention to detail.
  • Prior experience as a front desk receptionist, administrative assistant, or personal assistant is advantageous.
  • Familiarity with property management software (AppFolio, Buildium, Yardi), CRMs, or Asana is a plus.
  • Strong typing skills and comfort using calendar management tools for scheduling appointments.
  • Must have a stable internet connection and a quiet, professional remote workspace.
