Job Title: Real Estate Operations Assistant
Location: Remote (Latin America preferred)
Hours: Full time, aligned with U.S. Central business hours.

We are looking for a skilled Operations Assistant to support our growing business and help our agents work efficiently and effectively.
About the Role:
We are seeking a proactive, detail-oriented Operations Assistant to manage day-to-day administrative and transaction functions. The ideal candidate thrives in a fast-paced environment, communicates clearly, and takes initiative to streamline processes rather than waiting for direction. You'll play a key role in ensuring smooth operations from listing to close.
Key Responsibilities:
- Manage MLS listings: input and update property data, create marketing materials, and draft property descriptions using AI tools.
- Coordinate transactions: oversee documentation, timelines, and communication between agents, clients, and vendors.
- Handle data entry and follow-ups to maintain accurate records and ensure timely client communication.
- Run and manage KPI reports, keeping leadership informed of performance metrics.
- Support workflow efficiency using Google Forms, Docs, and Sheets.
- Communicate professionally with agents and team members to resolve issues and maintain momentum across all transactions.
Tools and Systems You'll Use:
- HubSpot CRM
- Canva
- Google Workspace (Forms, Docs, Sheets)
- MLS platform
- AI-assisted content tools for listing descriptions
What We're Looking For:
- Excellent English communication skills (written and spoken).
- Experience in real estate operations, marketing, or transaction coordination preferred.
- Strong organizational skills and ability to manage multiple projects simultaneously.
- Tech-savvy and comfortable learning new tools quickly.
- A proactive mindset with a focus on improving workflows and problem-solving independently.
- High attention to detail and accountability.
Preferred Experience:
- Prior work with U.S.-based real estate teams.
- Familiarity with KPI tracking and data management.
