We are looking for a dedicated **Scheduler** to join our team and help us continue this mission. **Job Overview**: The **Scheduler** plays a critical role in maintaining the relationship between our clients and caregivers, ensuring the perfect match for both. You will be responsible for managing caregiver schedules, ensuring that all referrals are handled accurately, and performing various supervisory duties related to scheduling, timecards, and payroll. Your attention to detail and excellent communication skills will help ensure a smooth and positive experience for both our clients and employees. **Key Responsibilities**: - Coordinate caregiver schedules to ensure timely and appropriate care for clients. - Establish and maintain positive relationships with both clients and caregivers to promote a high-quality care experience. - Act as the liaison between the caregiver staff and clients, ensuring that the right match is made for each client’s unique needs. - Accurately process and manage caregiver timecards, ensuring compliance with payroll procedures. - Monitor and manage telephony systems to ensure that all scheduling needs are being met. - Handle referrals in a thorough and detail-oriented manner, ensuring all necessary information is captured. - Perform supervisory tasks related to scheduling, including ensuring that shifts are filled as needed and caregivers are informed of assignments. - Maintain positive communication with clients and caregivers, addressing concerns and providing solutions when necessary. - Support various office coordination duties, assisting with administrative tasks as needed. - Manage stress effectively in a high-functioning, fast-paced office environment. - Ensure all scheduling operations align with company standards, providing top-tier customer service to both clients and staff. **Core Competencies**: - **Verbal Communication**: Effectively communicate with clients, caregivers, and internal teams in a clear and professional manner. - **Adaptability**: Ability to adjust to changing priorities and client needs in a fast-paced environment. - **Likability**: Build rapport and maintain positive relationships with clients and caregivers. - **Customer Focus**: Prioritize the needs of clients and caregivers to provide the best care experience. - **Decision Making/Judgment**: Make informed, thoughtful decisions regarding caregiver assignments and client care. - **Organization**: Strong organizational skills with the ability to manage multiple schedules and responsibilities simultaneously. - **Stress Management**: Handle high-pressure situations with professionalism and composure. - **Resourcefulness**: Proactively identify and solve scheduling and operational challenges. **Qualifications**: - Previous experience in scheduling, caregiving, or customer service is preferred. - Strong organizational and multitasking skills. - Excellent communication skills (both verbal and written). - Ability to work under pressure and maintain a positive demeanor. - Experience with telephony systems and payroll management is a plus. - Proficiency with scheduling and office management software (e.g., Microsoft Office, scheduling tools). - Knowledge of caregiving practices or experience in healthcare/home care is highly desirable. **What We Offer**: - Competitive salary and benefits package. - A positive, collaborative work environment focused on growth and development. - Flexible work arrangements (remote/hybrid options available). - Opportunities for professional development and career advancement.
