Bilingual Scheduler - Job Description
Overview
We are seeking a detail-oriented and bilingual Scheduler to coordinate therapy and assessment schedules across clients, therapists, and supervisors. This remote role requires high attention to detail, strong communication skills in English and another language (preferably Spanish), and experience in administrative or clinical scheduling. The Scheduler will work closely with the operations team to ensure timely, organized service delivery and scheduling compliance.
Key Responsibilities
- Schedule therapy sessions and assessments for clients in collaboration with therapists and supervisors
- Maintain and update client schedules in real-time based on family and therapist requests
- Use communication platforms (e.g., Viber, FluentCloud, Zoiper) to coordinate with staff and clients
- Update and track scheduling information in systems such as NPA and internal databases
- Monitor and manage end-of-contract authorizations and notify appropriate teams
- Set up and schedule clinical meetings, school observations, and supervisor sessions
- Coordinate communication with the Operations team regarding authorizations and scheduling changes
- Maintain accurate activity and results notes for assigned caseload
- Generate and maintain reports based on scheduling and client engagement data
- Ensure timely updates to scheduling maps and logs
Required Skills and Qualifications
- Minimum 2 years of experience in scheduling, administrative coordination, or healthcare support roles
- Bilingual proficiency in English and another language (Spanish preferred)
- Strong written and verbal communication skills
- Proficient in Microsoft Office (Excel, Word) and communication tools like Viber and Zoom
- Experience with scheduling software and systems such as NPA is a plus
- Highly organized and responsive to real-time updates and scheduling requests
- Strong attention to detail and time management skills
- Ability to work independently and maintain professionalism in a remote setting
- Experience coordinating with U.S.based clients or healthcare services is an advantage
Technical Requirements
- Reliable internet connection (50 Mbps or higher)
- i5 processor or equivalent or higher
- Minimum of 8 GB RAM
- Quiet, private home office environment suitable for client communication
- Backup internet and power solutions
- Noise-canceling headset and webcam for virtual communication
- Possession of a U.S. tourist visa (B1/B2) is a plus, but not required
