We are looking for a hard-working and dedicated business assistant to be responsible for administrative and clerical duties to ensure efficiency and smooth running of our offices. The assistant provides reliable support to managers, staff, and office visitors handles basic office tasks, and monitors office operations to increase efficiency and quality.
This role will be reporting to the owner of multiple businesses, so the right person will have the opportunity to learn a lot. The role will also require doing work for and taking orders from other members of the team as assigned tasks by management.
A successful assistant is dedicated, hard-working, and has strong attention to detail. You should have excellent communication, interpersonal, and organizational skills.
You will be a valued member of the team doing important tasks for the owner of multiple businesses and that may require complex tasks involving analysis in Microsoft Excel, but could also include simple tasks such as running errands. The right person for this position is not “too big” to do anything and everything that is needed.
**Responsibilities**:
- Determine the best way to balance and prioritize multiple administrative requests, some of which are complex and require executive-level support.
- Arrange meetings and interviews for the team leader.
- Manage telephone coverage for key members as needed. Maintain hard and electronic filing systems and ensure administrative processes are documented and up-to-date.
- Manage inventory of supplies and order supplies as needed.
- Assist on special projects and/or teams and assignments. Work with other administrative staff outside of the department to accomplish organizational goals
- Work with managers to coordinate travel vouchers, meeting notes, performance evaluations, and other documents to support work.
- Greets visitors, responds to general questions, and directs callers to the proper location.
- Performs other duties as assigned and required to maintain unit operations.

- Fluent English
- Ability to anticipate the needs of others in order to ensure their seamless and positive experience
- Extensive time management, coordination, and communication skills
- High level of interpersonal skills to include, working with executives, handling confidential situations, strong attention to detail and accuracy, maintaining continual composure, tact and diplomacy, and demonstrated excellence in customer service orientation and listening skills.
- Knowledge of business accounting - not required, but preferred
- Advanced Microsoft software skills including Word, Excel, and PowerPoint.
- Energetic, self-starter with the ability to work unsupervised.
