Superstaff is seeking a highly organized and proactive **Equipment Coordinator Assistant** to support the operations of one of the largest dental equipment distributors in the United States. This is a **fully remote position in Colombia**, ideal for a professional with a background in purchasing, logistics, or administrative coordination who is fluent in English.
You will play a crucial role in ensuring the entire equipment order lifecycle runs smoothly, from the initial purchase order to the final, successful delivery. If you excel at problem-solving and coordinating moving parts, we want to hear from you.
**Key Responsibilities**
As an Equipment Coordinator Assistant, your day-to-day will involve:
- **Order Management**: Manage and track equipment purchase orders from creation to completion, ensuring all details are accurate.
- **Vendor & Partner Communication**: Serve as the primary liaison with vendors, shipping partners, and third-party movers, communicating primarily in English to confirm status, tracking, and delivery schedules.
- **System & Data Management**: Maintain and update real-time information in our systems (including Dynamic CRM and Basecamp) to ensure all project data is current.
- **Reporting**: Generate and analyze open order reports to track deadlines, identify potential delays, and report on progress.
- **Problem Resolution**: Proactively resolve issues related to vendor claims, returns, or shipping delays to keep the process on track.
- **Customer Service**: Field and respond to inquiries from internal teams and external customers via shared Outlook mailboxes.
**Required Qualifications**
- **Language**: Advanced or fluent proficiency in English (B2/C1 or higher), both written and spoken, is essential for daily communication.
- **Experience**: At least 1-2 years of proven experience in an administrative support, purchasing, or logistics coordination role, preferably in a fast-paced environment.
- **Technical Skills**: High proficiency with the Microsoft Office Suite (Excel, Outlook, Word).
- You have exceptional organizational skills and a keen eye for detail.
- You are a strong problem-solver who can think on your feet.
- You possess excellent time management skills and can effectively prioritize multiple tasks.
- You have experience with CRM software (like Dynamic CRM) and project management tools (like Basecamp) is a strong plus.
