About the Role As an Executive Assistant at Xebia, you will provide high-level operational and administrative support to our executive team, enabling them to lead with authority and focus on strategic impact. You’ll manage complex agendas, coordinate with stakeholders and customers, organize travel logistics, and ensure seamless executive operations. Your role will reflect our value-led, high-quality culture and help maintain the standard of excellence that defines Xebia. What You’ll Do Manage and optimize the executive team’s schedules across multiple time zones, ensuring strategic priorities are met and time is protected. Serve as the primary bridge between executives and internal/external stakeholders (clients, partners, team leads), handling correspondence, meeting requests, and gate‑keeping to the executive’s time. Prepare agendas, briefing notes, and follow‑up action items for meetings, track decisions, and ensure timely execution. Plan and coordinate all travel logistics, including flights, accommodations, transfers, and visas, for both domestic and international trips. Organize in‑person and virtual events, off‑sites, and stakeholder meetings. Oversee expense reporting, reconciliation, and budget tracking. Draft, format, and manage executive‑level documents, reports, and presentations to support leadership decisions and client engagements. Always maintain confidentiality and discretion, handling sensitive information with professionalism. Support office operations and executive team priorities by managing contact lists, supporting the onboarding of guests, and proactively anticipating their needs. Assist with ad‑hoc strategic projects, including research, stakeholder analysis, and internal process improvements. Continuously evaluate and improve support workflows, tools, and systems to increase productivity and quality of the executive office function. Embed into Xebia’s value‑led culture by proactively sharing knowledge, maintaining high‑quality standards, and representing the company’s thought‑leader positioning. What You Bring 4+ years of experience supporting senior executive(s) or C‑suite in a global consulting environment. Exceptional organizational skills with strong ability to prioritize multiple tasks, manage complex schedules, and operate with agility. Outstanding communication skills (written and verbal) in English, capable of interacting confidently with senior internal and external stakeholders. Ability to prepare data‑driven reports or dashboards to support executive decision‑making. Advanced proficiency in the Microsoft suite (Outlook, Word, Excel, PowerPoint) and comfort with digital collaboration tools and calendar systems. Proven experience organizing complex travel and event logistics (domestic and international) and managing related expense workflows. Strong discretion and confidentiality; you handle sensitive information and are trusted to act as an ambassador for the executive office. Proactive, self‑motivated mindset; you anticipate needs, identify improvements, and act with initiative. Comfortable working in a global, value‑led consulting environment; adaptable to changing priorities, multiple time zones, and evolving business needs.
