As an Administrative Assistant supporting GCDI in Colombia and Costa Rica, your role will be pivotal in ensuring efficient office operations, coordinating a wide range of administrative and operational tasks, and interacting with internal and external stakeholders for business purposes. You will provide indispensable support for digital transformation, innovation, communication, and special projects.

Main Requirements:

  • Bachelor's Degree in Business Administration or related field;
  • Effective communication skills (oral and written) with the ability to communicate with both the technical and business areas in Spanish and English;
  • Minimum of 3 years of Administrative Assistant related role experience;
  • Minimum of 3 years of administrative experience supporting management teams;
  • It will be considered a plus if you have advanced education or certifications such as Certified Administrative Professional, Project Management Professional Certification, or Professional in Human Resources Certification;
  • Advanced computer skills using MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.);
  • Strong organizational and critical thinking skills;
  • Keen sense of urgency and customer focus;
  • Ability to work cross-functionally and as part of a team;
  • Diligent attention to detail;
  • Capable of thriving in autonomous work settings, adapting with ease to challenging circumstances, and displaying flexibility in dynamic environments.

Responsibilities include, but are not limited to:

  • Providing advanced secretarial, clerical, and administrative support to the LATAM Head and Managers within the GCDI Management Team;
  • Coordinating complex multi-leg and international travel arrangements, including calendar scheduling and planning;
  • Processing expense reports, purchase orders, payment requests, and ensuring compliance with payment processes, invoice reception, and charge backs from specific projects using Concur;
  • Producing and completing various work assignments requiring analytical ability, independent judgment, creativity, and problem-solving skills;
  • Developing reports, presentations, tables, graphs, correspondence, and conducting light research using appropriate software;
  • Coordinating special projects as assigned from time to time;
  • Processing and managing Visas/Passports as required;
  • Coordinating event planning and logistics as needed;
  • Assisting with financial and budget tasks as per operational requirements.
