Job Summary The Document Control Coordinator provides organizational and document management support across the company. This role is responsible for maintaining accurate, up-to-date documentation, supporting SharePoint organization, assisting with process documentation, and ensuring company files follow established standards and procedures. Key Responsibilities Document & SharePoint Management Organize, maintain, and update documents within the company SharePoint site. Ensure proper folder structure, version control, and document accessibility. Retrieve electronic documents and files as requested by internal teams. Conduct regular SharePoint folder reviews to identify outdated or duplicate documents. Archive documents in an organized and compliant manner. Document Control & Updates Proofread, format, merge, and edit documents as requested. Create, update, and maintain company templates. Ensure company documentation is accurate, consistent, and aligned with internal standards. Maintain confidentiality and proper handling of sensitive information. Process Documentation Create and update Standard Operating Procedures (SOPs), flowcharts, and process documentation. Assist in documenting workflows using tools such as Scribe or similar platforms. Collaborate with stakeholders to ensure process documentation is clear and current. Special Projects Support Support the Document Manager and Executive Management team with special projects. Assist with ad-hoc documentation, audits, and organizational initiatives as needed. Required Qualifications 5–10 years of experience supporting senior leadership or executive teams. Strong experience managing documents in SharePoint and cloud-based systems. Advanced proficiency with Microsoft Office, including Word, Excel, and Visio. Experience using SharePoint, OneDrive, Teams, Zoom, and document collaboration tools. Excellent written and verbal communication skills. Strong organizational skills with the ability to multitask and prioritize. High attention to detail and quality-focused mindset. Ability to work independently with minimal supervision. Proven ability to handle confidential information with discretion. Preferred Skills Experience creating SOPs, flowcharts, and structured process documentation. Familiarity with documentation tools such as Scribe. Strong problem-solving and decision‑making abilities. Experience supporting executive or operational teams in fast‑paced environments.
