Job Title: Bilingual Receptionist
We are seeking a highly skilled and experienced Bilingual Receptionist to join our team at Evolution. As a key member of our front office, you will be responsible for providing exceptional customer service, managing correspondence, and ensuring the smooth operation of our office.
Key Responsibilities:
- Provide exceptional customer service to visitors, clients, and vendors.
- Manage correspondence, including emails, letters, and packages.
- Update calendars and schedule meetings.
- Organize top management visits and meetings.
- Handle reservations and bookings.
- Manage incoming and outgoing correspondence.
- Oversee recycling management and create an eco-friendly environment.
- Coordinate office-related taxi services and transfers.
- Schedule music in the reception and canteen.
- Conduct daily security questions and cooperate with security guards.
- Order front office supplies and maintain stock levels.
- Maintain the Swiped On system daily.
- Monitor JIRA tickets and re-assign as necessary.
- Manage document flow for incoming and outgoing mail and cargo.
- Administer Bio Star fingerprint access system, Access Cards, and control of resignation files.
- Assist other administrative staff with overflow work, including word processing, data entry, and research.
- Engage in additional projects based on Office Management needs.
- Perform duties in accordance with standards and procedures established by the company.
- Comply with internal policies and instructions.
- Execute job obligations in a proper, high-quality, and timely manner.
- Ensure compliance and accuracy of the provided information.
- Timely execution of any other reasonable tasks provided by the Direct Manager.
- Replace colleagues during their vacations, sick leaves, and other absences, provided that replacement takes place during working time.
- Ensure full attendance at trainings and workshops necessary for job assignments according to the development plan and requests of the Direct Manager.
- Care for assigned work resources and items.
- Carry out activities related to personal safety.
- Request the manager to provide timely and accurate job assignments and secure necessary resources for execution of job responsibilities.
- Provide the manager with proposals for work improvement.
Requirements:
- At least 1 year of experience in management, customer service, administration, or any other related field.
- Fluent English (verbal and written), minimum B2.
- Secondary education (Bachillerato); preferably higher education.
- Excellent written and verbal communication skills.
- High sense of responsibility, punctuality, accuracy, and attention to detail.
- Ability to accurately fulfill direct management orders and work tasks.
- Tact and discretion for dealing with confidential information.
- Multitasking ability with a flexible and adaptable approach to work in a fast-paced, ever-changing environment.
- Ability to work independently and in a team.
