Job Description

We are seeking a dynamic Luxury Construction Project Coordinator to join our team. This role offers a unique blend of administrative expertise, financial management, and high-level client interaction. You will be at the heart of operations, managing everything from organizational systems to client communications, all while supporting projects that redefine luxury living.

Responsibilities
  • Spearhead organizational improvements by implementing and managing new efficiency systems.
  • Take charge of financial management tasks, including data entry and invoice generation using Xero.
  • Be the voice of the company, handling professional communication with high-profile clients, architects, and designers.
  • Craft and manage various business documents, from contracts to project proposals.
  • Drive project success by assisting with job tracking and project management.
  • Master the art of estimating by learning and utilizing specialized software for generating accurate project quotes.
  • Develop a keen eye for architectural plans, with guidance and training provided.
  • Manage a virtual phone system, ensuring smooth communication flow for inbound and outbound calls.
  • Contribute to the company's growth by identifying areas for process improvement and suggesting innovative solutions.

  • Exceptional communication skills, with the ability to articulate complex ideas clearly and professionally.
  • Proficiency in Microsoft Office suite and a passion for learning new software applications.
  • Demonstrated organizational prowess and the ability to juggle multiple high-priority tasks.

  • A professional demeanor and confidence in interacting with influential individuals.
  • Basic understanding of bookkeeping principles, with a willingness to expand financial management skills.
  • Flexibility to work full-time, aligning with Sydney, Australia time zone (9 AM to 6 PM AEST).
  • Self-motivated with a proactive approach to problem-solving and process improvement.
  • Ability to adapt quickly in a fast-paced environment and maintain composure under pressure.
  • Keen interest in the construction or luxury services industry is a plus.
