As our client base grows, we're looking for an experienced Remote Operations Manager to become the backbone of our operations.
This person will ensure that every job runs smoothly from start to finish — while also building the systems and processes to support our continued expansion.
Position Overview: The Remote Operations Manager will oversee and optimize all administrative functions related to our day-to-day operations.
You'll be responsible for intake, scheduling, dispatch, customer communication, estimates, invoicing, and post-service follow-ups — all while managing a small operations support team.
You'll also play a key role in auditing current workflows, creating SOPs, and supporting payroll preparation.

Key Responsibilities: Lead & Customer Intake Respond promptly to incoming calls, emails, and web inquiries.
Gather project details, photos, and timelines to prepare jobs for estimates.
Qualify leads to ensure alignment with company service offerings.
Input all lead and customer information accurately into Housecall Pro.
Work with technicians or supervisors to create and send accurate estimates.
Follow up on pending estimates and answer client questions to close the deal.
Scheduling & Dispatching Schedule confirmed jobs efficiently based on technician availability, location, and job complexity.
Communicate clear job details to technicians ahead of each appointment.
Make adjustments to the schedule in real-time as needed (reschedules, delays, etc.).
Customer Communication Serve as the main point of contact for customers throughout the job process.
Keep customers informed before, during, and after service is performed.
Address customer concerns quickly and professionally.
Invoicing & Payment Follow-Up Generate and send accurate invoices using Housecall Pro.
Follow up on unpaid invoices and provide reminders or payment options.
Track revenue and billing discrepancies, and escalate any billing issues.
Team Management Oversee a team of operations assistants, assign tasks, and monitor their performance.
Provide training, support, and performance feedback as needed.
Maintain accountability and ensure team deadlines are met.
Process Optimization & SOPs Audit current operational workflows for gaps or inefficiencies.
Document and implement new procedures and SOPs for recurring tasks.
Ensure the entire team adheres to documented workflows.
Payroll Support Collect and verify technician time logs, mileage, and job completion data.
Coordinate with finance or accounting team to ensure timely payroll processing.
Assist in tracking bonuses, tips, or commissions if applicable.
Qualifications: Must have experience using Housecall Pro (non-negotiable) At least 2+ years in an operations, administrative, or customer service management role Experience managing remote or in-house staff Highly organized with strong time management and prioritization skills Clear and professional communicator (written and verbal) Comfortable with tech tools, spreadsheets, CRMs, and scheduling software Strong problem-solving and conflict-resolution skills Experience working in home services (handyman, HVAC, plumbing, etc.)
