This role contributes to the achievement of organizational efficiency by managing the organization and running of the daily regional operations of regional company and regional offices communicating and coordinating with many different departments and stakeholders on a daily basis. Regional Senior Office Assistant helps senior managers and high-level executives maximize their efficiency by providing them with clerical and secretarial support, handling difficult assignments that requiring thorough knowledge of a department's operating policy and procedures, and have considerable contact with the vendors, contractors, customers, real estate personnel, etc. Person holds overall accountability to organize work of the office/ offices in the LATAM region, sort and distribute communications in a timely manner and use “back-office” computer systems.

1. Help in the sourcing of offices or shared offices as per the requirement

2. Develop, implement and improve office policies and procedures/operations in ways that optimize procedures, organize and coordinate the team in everyday tasks

3. Partner with Technical Services to maintain the office conditions and coordinate necessary repairs

4. Partner with Travel to manage accommodation availability and coordinate guest arrivals and departures

5. Partner with POP to update and maintain office policies as necessary

6. Partner with IT Tech on all office equipment

7. Manage ordering stationery, office equipment, and representation packages/gifts

8. Manage office budget, and ensure accurate and timely reporting

10. Provide general support to visitors. Serve as point-person for visiting groups, committees, organizational consultants, etc

11. Assist in the onboarding process for new hires (contract signings, equipment takeover etc)

12. Ensure that all items are invoiced and paid on time

13. Address employees’ queries regarding office management issues (e.g. stationery, repairs, etc.)

14. Responsible for training staff in work methods; provides feedback to supervisor in assigned staff performance evaluations

15. Organizes and coordinates his/her team in everyday tasks, and reviews work for completeness, accuracy, and quality.
