What this job involves
We are looking for a dynamic person for the position of Workplace Experience Specialist to join our team.
**Location**: Barrio El Chico, Bogotá, Colombia.

**Work schedule**: Monday to Friday, 8:00 am to 5:00 pm.

**Work model**: On-site.

**Contract Type**: Indefinite-term.

This role is responsible for overseeing and supporting the effective delivery of Workplace Experience Services and user experience by understanding, assessing and evaluating the needs of staff and guests alike. This role will work with experience for LATAM country sites (Bogota, Medellin, Ecuador, Perú, Uruguay and Paraguay as small sites and working remotelly and working remotely with the support of local people). Additionally, this position will have 2 Lobby Host reporting directly and will be responsable for supervising them and working on their professional development in the company.

Workplace Experience Specialist acts as Building Ambassador at site level and should drive continued development and adaptation of all Workplace Services resulting in enhanced end user satisfaction and workplace experience for client staff and guests alike.

What is your day to day?
Ensures compliance with SOPs for all Workplace Experience contracted services, identifies and includes all variations applicable per site.
Ensures compliance with client standardized processes, policies and procedures by all parties executing services on behalf of client.
Support annual development of Country Plan and execute Customer Experience projects & programs assigned.
Participate and be engaged with IFM meeting cadence (operational, strategic and best practice forums)
Ensure the best experience for our clients (internal and external).
Supports the execution of Key Activities Calendar under Workplace Experience Specialist responsibility.
Provide operational service reports on a monthly, quarterly and annual basis.
It supports the search, selection, contracting and management of suppliers, related to Workplace Experience.
Onboard and train Suppliers as needed.
Validates that all soft service related vendor invoices submitted for payment are appropriate and consistent with customer spending authorization limits and compliance guidelines.
In coordination with Workplace Manager, measure and track vendor performance against a pre-defined set of success criteria and contractual obligations using metrics and KPIs where applicable.
Manages the relationship with suppliers to guarantee the adequate provision of the service.
Ensure contractually correct and timely payment of invoices/processing of level one and two supplier invoices (according to the agreed time frame) sent to customer accounts payable.
Make sure vendors prepare invoices correctly.
Support in coordination with Workplace Manager and Engineering team to plan and execute activities related to environmental sustainability.
Manage receptionist services for client locations.
Manages the purchase, receipt, storage, and issuance/return of office supplies in accordance with applicable programs and procedures.
Manage shipping and receiving services on assigned properties.
Ensures that mail collection and distribution services are provided within and between designated client properties in a secure, efficient and cost-effective manner.
Manages postal courier and express courier services within and between designated properties and to/from the local post office, including delivery of customer business mail, packages, documents, inter-office mail, and any other items to be delivered to the sites the client's.
Execute the process of setting up the client's New Hires facility for site occupants, providing the best work experience, comprehensive onboarding, workspace and supplies to get things done from day one.
Promote positive workplace experiences by conducting “sweeps” of services, proactively communicating with end users, and soliciting feedback from them.
Run routine walkthroughs and assessments, proactive work order entry, timeliness, and execution tracking.
Ensure safe, efficient, and cost-effective Class A building general janitorial and janitorial services within agreed service levels for customer-facing and non-customer-facing areas at customer sites.
Manage the parking program.
