Job Title: Event Production & Administrative Coordinator – Remote

Location: Fully Remote

Compensation: $1000 - $1300 USD based on experience

Overview

Higher Options is seeking a candidate to manage event production logistics and administrative operations for a premier catering company in Austin, Texas. The candidate will ensure the smooth execution of events and maintain efficient operational systems to help with event production and coordination.

This role reports to the Executive Chef and at times works directly with other members of the business. The ideal candidate is adept at keeping track of multiple simultaneous priorities, communicating proactively with each player, capable of having fun while maintaining a high standard of accountability, and being proactive to the needs of the founders. The client is seeking a candidate with long-term potential who will feel comfortable growing with them, and who not only ensures flawless execution but enhances each interaction with thoughtfulness and a sense of purpose. The client has a small, tightly knit team that enjoys good food & values good people.

Location

Their office, kitchen, and warehouse are located in Austin, Texas. This role works remotely and is available for video meetings & calls. As such, reliable internet & a computer is required.

Schedule

Full-time, averages 40 hours per week. Most of this role falls during office hours, generally between 9 or 10 am to 5 or 6 pm Monday-Friday, Central Standard Time, with the remaining fluctuating with seasonal demand; some weeks will be higher, and flex hours on slower weeks account for this. Some evening and weekend availability is required for event coordination. Flexibility can sometimes be offered, but the schedule will be highly based on the seasonality of the business & needs.

Core Responsibilities

Event Production (50%)

1. Create and manage event packlists, prep sheets, and production documents
2. Build staff schedules in Nowsta and coordinate with team leads
3. Maintain Asana project management system for event production
4. Organize event production folders and documentation
5. Generate post-event reports for kitchen, event management, and bar teams

Administrative Operations (50%)

1. Develop and maintain food/beverage order guides for events
2. Manage lead pipeline through Formstack, including tracking lost deals
3. Create and update standard operating procedures
4. Maintain inventory systems for TPP and disposables
5. Generate event proposals and manage website content
6. Coordinate photography documentation of platters and presentations

Required Skills & Experience

1. Strong organizational skills with the ability to manage multiple concurrent events
2. Proficiency in project management tools (Asana or the like)
3. Experience with staff scheduling software
4. Understanding of catering or food service operations
5. Ability to work independently and problem-solve effectively
6. Strong attention to detail and follow-through

Technical Requirements

1. Experience with CRM systems
2. Basic Squarespace knowledge
3. Comfortable with spreadsheet management
