We realize the greatest contributions to the company can come from anywhere in the organization, and we know that the next one could be yours We are seeking a proactive, organized, and experienced Document Specialist Supervisor to lead and manage our team of Document Specialists (DS I and DS II) in Colombia. This role will ensure agility, accuracy, and efficiency in documentation workflows that support our Buying and Logistics teams. The supervisor will oversee team performance, hiring, training, workload distribution, and continuous improvement, while serving as a strategic partner to Assistant Buyers and Buyers. What’s unique about this job (What you’ll do) Team Leadership & Supervision
• Manage and mentor a team of Document Specialists (DS I and DS II).
• Conduct weekly planning meetings to assign tasks, review progress, and resolve blockers.
• Ensure workload balance and adequate coverage across categories and regions.
• Monitor team performance and provide ongoing feedback and coaching.
• Foster a collaborative environment that supports employee development and growth. Documentation & Process Oversight
• Oversee documentation workflows related to item setup, vendor onboarding, compliance, and product registration.
• Ensure timely and accurate completion of documentation in systems such as AS400 and PIM.
• Monitor documentation turnaround times and error rates.
• Ensure compliance with established processes, policies, and documentation requirements.
• Identify opportunities to improve, standardize, and streamline documentation processes. Strategic Support
• Partner with Assistant Buyers and Buyers to prioritize and delegate tasks to DS I and DS II team members.
• Collaborate with Compliance, Product Registration, Duties, and other relevant teams.
• Support cross-training initiatives with Inventory Coordinators to increase team flexibility and retention.
• Identify staffing and resource needs and support proposals for expanding the Document Specialist team. Training & Development
• Support the hiring of Document Specialists and participate in the selection process.
• Lead onboarding and training for new Document Specialist team members.
• Develop and maintain SOPs, documentation templates, and training materials in collaboration with HR and Compliance teams.
• Provide feedback and coaching to support employee performance, career growth, and readiness for promotion.
• Liaise with the People Organization team on people-related matters. Reporting & Metrics
• Track team performance, documentation turnaround times, workload, and error rates.
• Provide regular updates to leadership regarding team performance, operational impact, and resource needs.
• Prepare and maintain reports that support decision-making and continuous improvement.
• Support budgeting and staffing proposals related to the Document Specialist team. Bring your passion and expertise (Who you are)
• 3–5 years of experience in documentation, buying support, logistics, or a related field.
• Previous supervisory or team lead experience is preferred.
• Knowledge of compliance and import/export documentation.
• Experience or familiarity with internal systems such as AS400 and PIM.
• Excellent organizational, communication, problem-solving, and leadership skills.
• Strong ability to prioritize tasks and manage multiple workflows simultaneously.
• Ability to collaborate effectively with Buyers, Assistant Buyers, Compliance, Product Registration, Duties, and other cross-functional teams.
• Bilingual English-Spanish required.
• Willingness to travel up to 10% as required.
