About the Client: A palliative care practice with an integrated hospice component. The organization focuses on compassionate, patient-centered care, helping individuals navigate serious illnesses while maintaining dignity and quality of life. Their model emphasizes strong communication with patients, families, and referral sources such as hospitals and care facilities. The practice is currently in its growth phase and is seeking long-term administrative support to improve efficiency and allow clinical staff to focus on patient care.

About the Role: We are seeking a dedicated, bilingual (Spanish) Medical Administrative Assistant to join our growing palliative care and hospice practice. The ideal candidate will be a compassionate, organized, and tech-savvy professional who can manage patient referrals, maintain accurate EMR data, communicate empathetically with patients and families, and build professional relationships with referral sources and partner facilities. This is a long-term, full-time position for someone who wants to become an integral part of a mission-driven healthcare team focused on quality patient care and continuity of service.

Key Responsibilities

Patient Referral & Data Management

  • Input new patient referrals into the EMR system promptly and accurately.
  • Enter and verify patient demographics, past medical history, and medication lists.
  • Update and maintain insurance information within the EMR.
  • Verify insurance and obtain prior authorizations
  • Obtain medical records from referral sources or other health care organizations for continuity of care
  • Conduct follow-up calls with patients to verify and update records as needed.

Communication & Coordination

  • Serve as the first point of contact for patients, families, and referral sources.
  • Maintain professional communication with hospitals, facilities, and community agencies providing palliative and hospice referrals.
  • Multitasking
  • Coordinate with the clinical team to ensure smooth transitions between palliative and hospice care when appropriate.
  • Participate in patient communication follow-ups (e.g., checking on well-being, confirming appointments, or clarifying information).

Outreach & Relationship Building

  • During slower periods, proactively reach out to facilities and potential partners to introduce the organization's services.
  • Represent the company professionally and accurately in all communications.

Language & Interpretation Support

  • Provide real-time Spanish-to-English interpretation during virtual or phone consultations, when necessary.
  • Assist in communicating care plans and information to Spanish-speaking patients and families in a compassionate, culturally sensitive manner.

Documentation & Reporting

  • Record all communications and updates in the EMR accurately and in a timely manner.
  • Alert the medical team immediately about any urgent or sensitive patient issues before documenting them in the system.
  • Maintain confidentiality and adhere to HIPAA-compliant standards at all times.

Qualifications & Skills

  • Fluent in English and Spanish (verbal and written).
  • Experience working in a healthcare or medical administrative setting—preferably in internal medicine, palliative care, hospice, or related services.
  • Proficiency with EMR/EHR systems (training provided for practice-specific platforms).
  • Strong data entry and organizational skills with exceptional attention to detail.
  • Excellent interpersonal and communication skills, with a compassionate, patient-centered approach.
