Job Title: Database & Campaign Coordinator

Work hours: 9:00 AM - 5:00 PM US Eastern time zone

Overview
We are seeking a
Database & Campaign Coordinator
to support email-based outreach and print invitation process for universities and students. This role blends
campaign execution, CRM/database management, and light design work
(using Adobe Suite templates). The ideal candidate is highly organized, detail-oriented, and thrives in structured, repeatable workflows, while ensuring all campaigns and assets are delivered on time and with accuracy.

Responsibilities

  • Build and manage branded email marketing campaigns using HubSpot and internal CRM.
  • Organize and maintain marketing assets (logos, templates, creative).
  • Use Adobe Suite (InDesign/Illustrator) to edit and update template-based designs, incorporating university branding and logos.
  • Coordinate digital and print invitation processes with vendors.
  • Collaborate with university partners for design approvals and ensure branding accuracy.
  • Submit final assets to vendors and track mailing/email send-outs.
  • Maintain and optimize process workflows for repeatable campaigns.
  • Ensure daily consistency, accuracy, and efficiency in campaign execution.

Hard Skills Required

  • Experience with HubSpot or similar marketing automation tools.
  • Adobe InDesign / Illustrator (template editing, not from-scratch creative).
  • Strong proficiency in managing asset libraries and campaign documentation.
  • Excel/Google Sheets for campaign tracking and reporting.
  • Attention to detail and accuracy in repetitive workflows.
  • Ability to work across email, light design, and operational tasks seamlessly.

Soft Skills Required
