Job description:
The Virtual Legal Intake & Assistant Specialist serves as the first point of contact for prospective clients and plays a critical role in supporting the legal team throughout the case lifecycle. This position is primarily phone-based and requires a proactive, detail-oriented professional who can manage client intake, assist with legal documentation, and ensure smooth case progression. The ideal candidate demonstrates initiative, empathy, and strong organizational skills to deliver exceptional service and support.
Responsabilities:
Client Intake & Qualification
• Conduct phone interviews with prospective clients to understand their legal needs.
• Evaluate claims to determine alignment with the firm's practice areas.
• Schedule consultations with attorneys for qualified leads.
• Onboard new clients by completing intake forms and assembling initial case files.
• Accurately enter and manage client data in CRM and case management systems.
• Order and follow up on medical records until receipt is confirmed.
• Create and maintain treatment timelines, including expenses and summaries.
• Assist in lien management by submitting documents and gathering supporting materials.
• Submit FOIA and other agency requests as needed.
• Organize and manage documents within case files.
• Apply Bates labeling to documents for discovery production.
• Review and index defendant's document productions for attorney reference.
