Role Summary
We are seeking a highly organized, reliable, and articulate Virtual Assistant to provide comprehensive administrative and personal support to an executive. The ideal candidate will demonstrate exceptional attention to detail, strong communication skills, and the ability to anticipate needs before they arise. This position requires consistency, initiative, and the discipline to manage a wide range of tasks efficiently while maintaining clear and proactive communication at all times.

Responsibilities
Administrative Support

  • Manage and maintain calendars, including scheduling, rescheduling, and prioritizing appointments.
  • Coordinate meetings, prepare agendas, and ensure all necessary materials are organized in advance.
  • Monitor and respond to emails within company inboxes, maintaining a professional and timely communication standard.
  • Organize digital files and folders for seamless accessibility and version control.
  • Track bills and follow up on payments as needed.
  • Handle expense data entry with accuracy and attention to detail.
  • Maintain and update task lists, ensuring progress is tracked and deadlines are met.

Scheduling & Coordination

  • Book and confirm appointments for both business and personal matters.
  • Communicate with clients, vendors, and team members to coordinate schedules and logistics.
  • Set automated reminders and ensure all calendar commitments are met on time.

Personal Assistance

  • Make comprehensive travel arrangements, including flights, accommodations, and ground transportation.
  • Manage online purchases, deliveries, and returns.
  • Handle personal errands and miscellaneous administrative tasks as required.

Qualifications

  • Fluent in English (spoken and written).
  • 3+ years of experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
  • College education required.
  • Knowledge of the Real Estate industry is a plus.
  • Strong organizational and time management skills.
  • Proficient in Google Workspace (Gmail, Calendar, Drive, Meet) and basic spreadsheet tools.
  • Self-motivated, dependable, and comfortable working with minimal supervision.

Daily Workflow Expectations

  • Email Management: Check and manage inboxes multiple times per day, respond to standard inquiries, and flag or escalate important messages for review.
  • Task Tracking: Maintain an updated to-do list, follow up on outstanding items, and ensure nothing is overlooked.
  • Daily Check-In: Conduct a brief 10–15 minute call each day to review completed work, upcoming priorities, and potential challenges.
  • Live Collaboration: Use Google Meet or similar tools during work sessions for real-time updates and efficient communication.
  • Organization: Create and manage email groups, folders, and categories for improved clarity and faster access to key information.

Work Setup Requirements
To perform this role effectively, you must have:

  • A quiet home office space to work optimally.
  • A stable internet connection (minimum 100 MB).
  • A laptop/desktop with updated software.
  • A secondary backup internet option to ensure reliability.
