About the Role:

We are seeking a top-tier Real Estate Admin Assistant who thrives in a fast-paced, high-stakes environment. The ideal candidate has 1+ years of experience, is exceptionally organized, and can manage multiple agents' workloads simultaneously while maintaining perfect accuracy. This person proactively identifies opportunities to streamline operations, improve workflows, and enhance client satisfaction.

Key Responsibilities:

  • Manage complex calendars, emails, and schedules for multiple agents; anticipate conflicts and optimize time.
  • Prepare, proofread, and organize contracts, closing documents, listing agreements, and reports with zero errors.
  • Coordinate communication between clients, agents, vendors, and internal teams to ensure seamless operations.
  • Maintain CRM and MLS databases, ensuring listings are accurate, up-to-date, and fully optimized.
  • Assist in preparing presentations, market analyses, and property reports for clients and senior management.
  • Implement workflow improvements, create templates, and document standard procedures.
  • Troubleshoot administrative issues and propose solutions proactively.
Requirements
  • 1+ years in real estate administration for high-volume offices.
  • Expertise with CRM systems (e.g., Salesforce, HubSpot), MLS platforms, and MS Office Suite (Excel, Word, PowerPoint).
  • Superior organizational skills and ability to handle multiple priorities without supervision.
  • Exceptional written and verbal communication.
  • High attention to detail with strong proofreading and document management skills.
  • Ability to anticipate needs, solve problems, and implement process improvements.
  • Professional demeanor, capable of representing the firm with clients and partners.
