**About the role**

The REOA (Real Estate Operations Assistant) is a key professional who acts as the right-hand to Real Estate Agents and all other team/operational staff. This individual is responsible for supporting Agent operations, including client management, scheduling, marketing operations, administrative tasks, current/future projects and improving processes wherever possible. Ensuring all are being executed, documented, and completed to a high standard, as needed, maintaining smooth team/business operations. Must have excellent written and verbal communication skills, be an avid people-person, and a life-long learner always looking to push the envelope.

**Role Responsibilities**:

- Manage client communication and scheduling for Agent including calendar management, note taking, facilitation and follow up as needed.
- Day to day follow ups with Agent/team and management of important dates for clients/transactions.
- Filing of all deal paperwork, expense tracking and ownership of all administrative operations.
- Input all marketing leads & new clients in CRM, updating as needed
- Prepare marketing materials for client presentations, listing presentations and team marketing.
- Maintain closing gifts, purchase and arrange courier of gifts to current/past clients, special occasion gifts as required
- Manage regular social media posting of ongoing business (just listed, sold, etc.)
- Maintain shared to-do list and check that things are on track among all agents
- Prepare letters, mailouts and any client materials as required

**Requirements**:

- Fully fluent in English
- 1 year experience in the Real Estate Industry in an administrative role
- 2 years experience in an office administrative role
- Excellent customer service
- Ability to problem-solve, excellent attention to detail and highly organised
- Have managerial background
