**What you will bring to the team**
The Receptionist and Administrative Assistant covers administrative duties for the TGCS office in Bogota such as receptionist, office supplier management and payments like lease office, janitorial services, utilities, messenger services, legal & accounting & other invoices reception and process direction and so on to support the office operation. It is also responsible for organizes local documentation and processes for accounting, local invoicing, legal, providers enrollments, RFP, RFI and so on. It also supports logistics for customers and business partners sales activities and provides general support to the team related to the office business.
This position reports to the Channels Sales Sr. Manager who is the Legal representative (A) for the Toshiba Global Commerce Solutions Colombia SAS subsidiary.
**What you will be doing**:
Your typical day as a Toshiba **Receptionist and Administrative Assistant **will involve:
- Attention to internal and external customers who contact the company in person, by phone or virtually.
- Receipt and registration of correspondence.
- Manage the purchase and consumption of stationery, cafeteria, janitorial and other supplies necessary for the operation of the office.
- Support the team and the business process of the company in marketing activities, prospecting for new clients, appointment scheduling, organization of documents for RFP, management of approval processes and internal signatures, organization and registration of approval supports, among others.
- Organize and record the documentation related to the different commercial, financial, operational, services and human resources.
- Management of forms or other documents required for the company's relationship with customers or suppliers.
- Manage the commercial and logístical support providers required for the operation of the company such as real estate, cleaning services, public services, courier services, rental equipment, travel agency, etc. following the processes, policies and controls of the company.
- Support the financial team and in administrative tasks such as: Organize the digital file of electronic invoicing of sales and credit notes. Inventory management of invoices, credit and debit notes to have control of consecutive numbers, keeping the record organized in a database.
- Management of the digital archive of dispatches Support Human Resources in administrative and welfare processes.
- Perform all other functions inherent to your position and/or highlighted by your immediate boss.
**Naturally To be successful in this role, you must have and know of**
- Technician or Technologist in commercial and administrative areas
- Should be able to demonstrate PC proficiency in MS Word, Excel, and PowerPoint as well as learn any corporate or industry administrative software used by the position.
- Proficiency in the English
- Good interpersonal relationships
- Two years of experience.
