**Duties and Responsibilities**
- Ensure the office is well-maintained and supplies are adequately stocked.
- Coordinate with vendors for office equipment repairs and maintenance.
- Answer phone calls and direct inquiries to the appropriate personnel. Maintain a professional and welcoming atmosphere in the office.
- Accurately input and update data in various systems and databases.
- Perform regular data verification and cleansing to ensure data integrity.
- Draft and edit correspondence, memos, and reports.
- Prepare presentations and other materials as required.
- Schedule meetings, arrange conference rooms, and assist with meeting logistics.
- Take meeting minutes and distribute them to participants.
- Assist with travel arrangements for staff members, including booking flights, hotels, and transportation. Prepare itineraries and manage expense reports.
- Provide assistance in organizing company events, conferences, and other special occasions. Help with venue selection, coordination, and logistics.
- Conduct research on various topics as assigned. Gather and analyze data to support decision-making and provide insightful reports.
- Collaborate with colleagues and provide support as needed. Assist with cross-functional projects and contribute to a positive team environment.
- Work closely with our Founder in his home office in Medellin, CO.
**About you**
- High school diploma or equivalent; additional education or relevant certification is a plus.
- Proven experience as a general assistant, administrative assistant, or in a similar role is desirable.
- Proficient in using office software and equipment, including MS Office Suite (Word, Excel, PowerPoint, Outlook) and general office tools.
- Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills, with attention to detail.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Self-motivated and proactive approach to work, with the ability to work independently and as part of a team.
- Problem-solving skills and a willingness to take on new challenges.
- Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
- Professional and friendly demeanor with exceptional customer service skills.
- Fluent in English and Spanish.
