Team Overview:
You will act as an Administrative & Facilities Analyst, supporting 5 Offices across LatinAmerica. Your role is to support the Administration & Facilities Office Manager by creating and maintaining a Safety & pleasant work environment ensuring high levels of organizational effectiveness employee experience, communication, and security. Duties includes running routine safety inspections, respond daily employees inquiries, collaborate with Landlord/Coworks to ensure compliance in all agreements, vendor management, supporting in the maintenance and refurbishment works, maintaining records, supporting with other administrative tasks.

Role Responsibilities:

- Support daily inquiries at Offices such as; reception of visitors, employees, delivery of access cards and keep tracking records.
- Receive, solve and/or direct to appropriate channel all administrative requests from employees.
- Provide general support to visitors and suppliers.
- Submit and keep the record/tracking of department’s invoices and expenses.
- Coordinate and send/receive merchandise and/or products of the company.
- Support with the on/off boarding of employees Facilities related assets.
- Support on all sorts of office and administrative activities.
- Assist with the organization & logistics of office events.
- Documenting and updating the Facilities department processes, procedures and policies.
- Effectively liaise with other back office departments to ensure smooth operation of administrative activities.
- Keep track of the Facilities asset Inventories.

Role Qualifications:

- 2 years as a Facilities Support / Receptionist
- Bachelor's degree in economic-administrative areas.
- Fluent in English and Spanish.
- Proficiency in MS Office.
- Customer oriented and problem solver.
- Excellent written and verbal communication skills and ability to influence others, with ability to create and maintain synergy with stakeholders.
- Ability to multitask and work in a fast-paced, dead-line-driven environment.
- Accustomed to working in a team and collaborating with all levels within the organization
- Demonstrates strong attention to detail
- Ability to effectively be flexible in approach, and respond well to pressure
- Self-motivated, proactive and well organized.
