About the role

A great opportunity exists for an organised, detail-oriented Admin and People Operations Associate to join our People Operations team in Medellín on a 6-month fixed-term contract , covering maternity leave. This role keeps the day-to-day People and office operations for our Colombia team running smoothly, working closely with our global People Operations team in Australia and our local partners in Medellín.

You’ll manage a mix of administrative, payroll coordination, onboarding, benefits, and vendor-related tasks, helping ensure our Colombia team is well supported and our processes run smoothly and compliantly. The role also includes coordinating the administration of our Occupational Health & Safety Management System (OHSMS), known locally as the SG-SST.

What you’ll do

People Operations

  • Coordinate the onboarding of new Colombia employees, including contracts, documentation, benefits enrolment and system access setup.
  • Support offboarding and employee transitions, ensuring all required documentation and processes are completed.
  • Maintain accurate employee records and documentation in BambooHR.
  • Assist with local recruitment coordination for operational roles, including scheduling and candidate communication.
  • Escalate issues or questions to the People Operations team as needed.

Payroll, benefits, and social security

  • Coordinate the Colombia payroll process, including preparing information, tracking changes and liaising with Ongresso, our payroll and HR services partner.
  • Coordinate enrolments and monthly updates with EPS, ARL, pension funds, and the Caja de Compensación Familiar. Gather, audit, and submit all payroll inputs and changes to Ongresso on time, ensuring data accuracy before final processing.
  • Administer local employee benefits, including the eyeglasses benefit and the education stipend.
  • Coordinate occupational medical exams with our medical provider, including scheduling and fitness-for-work certificates.
  • Support coordination of the Colombia wellness plan and employee recognition initiatives.

Office, vendors, and petty cash

  • Manage vendor relationships and payments for the Colombia office, including invoices, approvals, and vendor records.
  • Manage the Medellín office petty cash (caja menor), including expense recording, supporting documentation, corporate card reconciliation, and periodic reporting.
  • Oversee day-to-day office requirements, including supplies, facilities and access.

Health and safety (SG-SST) coordination

  • Coordinate the day-to-day administration, execution, and recordkeeping of our OHSMS / SG-SST in close alignment with our licensed external SST provider.
  • Keep SG-SST records up to date, including documentation, the annual work plan, training records and indicators, and compile the evidence required for the annual self-assessment of minimum standards.
  • Coordinate the COPASST and the Comité de Convivencia Laboral, including elections, monthly meetings, minutes, and follow-up of action items.
  • Act as day-to-day liaison with our ARL on training, the emergency plan and scheduled activities.
