Accounting and Administration Specialist We’re expanding our Operations and Finance team with a bilingual (English/Spanish) detail-oriented Accounting & Operations Specialist who can bring order, accuracy, and structure to our daily financial processes. If you’re passionate about keeping systems up to date, reconciling data, and ensuring every transaction aligns perfectly, this role is for you. Main Responsibilities Maintain and update the ERP system with accounts, suppliers, inventory movements, purchase orders, and payments. Manage billing and collections cycles , ensuring accuracy and timely follow‑up with customers. Prepare and reconcile invoices, receipts, and bank transactions in USD and other currencies. Support month‑end closings and provide reports or documentation for external accountants. Ensure data consistency and compliance across all financial records. Contribute to continuous process improvement in the areas of accounting, purchasing, and ERP data flow. Support back‑office and administrative tasks such as documentation, reports, and internal communications. Manage vendor relationships and purchase order tracking (quotes, POs, delivery follow‑up). Assist in inventory management and data updates within the ERP. Help coordinate team schedules, meetings, and document organization . Prepare and organize reports or presentations for management and finance. What We’re Looking For 3+ years of experience in accounting, bookkeeping, or ERP administration. Strong knowledge of billing, collections, and inventory processes . Experience with QuickBooks, Zoho Books, Xero, or ERP Systems . Intermediate to advanced Excel/Google Sheets skills (pivot tables, formulas, data validation). Strong organizational skills and attention to detail. Bilingual: English and Spanish (written and spoken). Proactive mindset and the ability to work independently in a remote environment. Nice to Have Experience implementing or maintaining ERP systems. Exposure to SaaS or service‑based business models . Understanding of multi‑company accounting . Work Model This position is offered under a contractor agreement (professional services), with the option to work remotely .
