About the Role:


We are seeking an experienced Senior Marketing Operations Project Manager to oversee and drive various marketing projects from start to finish. As a project management leader, you will manage everything from the initial brief to the final delivery, ensuring smooth execution across all phases.


This role is crucial for scaling our operations to match our growth. We're looking for someone passionate about creating strategic briefs, unifying teams, improving processes, and building strong relationships.


Responsibilities:


As a Senior Marketing Operations Project Manager, your key responsibilities will include:



  • Leading and managing projects from inception to completion, ensuring all deliverables meet quality standards, deadlines, and budget constraints.
  • Actively managing all project phases, including intake, planning, creation, refinement, feedback & approvals, delivery, analysis, reporting, and archival.
  • Developing comprehensive project briefs that clearly outline objectives, timelines, and deliverables, setting the stage for successful project execution.
  • Assigning tasks and managing project workflows, ensuring that all team members understand their roles and responsibilities.
  • Proactively identifying potential risks and establishing backup plans, ensuring projects stay on track.
  • Trafficking and monitoring tasks to ensure that projects stay on track, making adjustments as needed to meet deadlines.
  • Staying 2-3 steps ahead in the creative process by continuously reaching out to stakeholders, producers, partners, and vendors.
  • Ensuring Quality Assurance by confirming that projects meet marketing requirements, adhere to brand guidelines, and achieve the desired objectives.
  • Establishing standardized project management practices, such as SLAs, creative briefs, and SOPs, to improve project efficiency and clarity.
  • Preparing and delivering weekly proactive status reports to management and stakeholders, highlighting team output, accomplishments, and relevant metrics.
  • Managing production and team budgets, as well as organizing and overseeing social content productions.
  • Coordinating team briefings, project kickoffs, internal reviews, and other meetings as needed to keep all stakeholders aligned.
  • Collaborating with cross-functional marketing partners on quarterly project planning, ensuring technical feasibility and resourcing availability.
  • Overseeing and managing project management tools, making sure they're set up and used as efficiently as possible.

Requirements:


To be successful in this role, you will need:



  • Proven experience with leading creative projects in a marketing or advertising environment, ideally within an in-house context and for a B2B SaaS company.
  • Proven ability to develop and manage comprehensive project briefs, workflows, and formal intake processes.
  • Proficient in the nuances of creative projects, including scoping, planning, resourcing, day-to-day project management, timeline creation, and defining and reducing risks.
  • Strong organizational skills, with a demonstrated ability to manage multiple projects simultaneously and meet tight deadlines.
  • Exceptional communication skills, with experience in stakeholder management and the ability to articulate complex project processes and creative needs.
  • Experience in process improvement, with a track record of building and refining project management processes for better efficiency.
  • Proficiency with project management tools, such as Asana.
  • Leadership qualities, with the ability to motivate and guide teams to deliver high-quality work on time.
  • Experience measuring results and aligning them to marketing KPIs, with rigorous reporting on project health and team performance.
  • Strong problem-solving and critical thinking skills, with a pragmatic but flexible approach to managing creative projects.
  • Acute attention to detail and accuracy, with high standards for work quality.
