We're seeking a highly organized and efficient Executive Support Professional to join our team at Assistant Launch. As a Virtual Operations Coordinator, you will play a key role in supporting our business operations.

Your Key Responsibilities

  1. Administrative Support: Handle a wide range of administrative tasks, including data entry, filing, and document management.
  2. Calendar and Schedule Management: Manage and maintain the executive's calendar, scheduling appointments, meetings, and conferences. Send reminders and provide necessary preparation materials as needed.
  3. Email and Inbox Management: Effectively manage the executive's inbox, filtering emails, and responding to routine inquiries in a professional manner.
  4. Travel Planning and Coordination: Plan and coordinate business and personal trips, researching and booking flights, accommodations, and transportation as needed.
  5. Task and Project Coordination: Assist in prioritizing and managing daily tasks, ensuring deadlines are met and projects are completed efficiently.
  6. Meeting and Event Support: Coordinate meetings, including scheduling and sending invitations. Take accurate meeting minutes and track action items for follow-up.
  7. Client and Vendor Communication: Serve as the primary point of contact for clients, vendors, and other stakeholders, handling inquiries and providing updates in a professional manner.
  8. Expense Management: Accurately track and record expenses, managing receipts for reimbursement and submitting timely expense reports.
  9. Research and Information Gathering: Conduct research on various topics, providing insightful summaries and recommendations to support decision-making.
  10. Personal Assistant Tasks: Perform personal errands, such as scheduling personal appointments or making reservations.
  11. Confidentiality and Discretion: Maintain confidentiality when handling sensitive information and business matters.
  12. Other Ad Hoc Tasks: Complete additional tasks as required by the Executive client.

Requirements and Qualifications

  1. A minimum of 2 years of experience as an Executive Assistant or Virtual Admin Assistant.
  2. Excellent communication and interpersonal skills.
  3. Proficiency in various tools (CRM, Project Management, MS Office, etc.).
  4. The ability to learn quickly and adapt to new technologies and processes.
  5. Attention to detail and excellent organizational skills.
  6. Self-motivation and ability to work independently.
  7. Flexibility to work part-time initially, with the potential for full-time employment.
