About the Role
We are seeking a highly skilled and experienced Virtual Assistant to join our team. In this position, you will provide administrative support to our executives, handling tasks such as data entry, filing, and document management.
Your Key Responsibilities
- Administrative Support: Handle general administrative tasks, including data entry, filing, and document management.
- Calendar and Schedule Management: Manage and maintain executive calendars, scheduling appointments, meetings, and conferences.
- Email and Inbox Management: Monitor and manage executive inboxes, filtering emails, and responding to routine inquiries.
- Travel Planning and Coordination: Research and book flights, accommodations, and transportation for business and personal trips.
- Task and Project Coordination: Assist in managing daily tasks, setting priorities, and ensuring deadlines are met.
- Meeting and Event Support: Organize meetings, coordinating schedules, and sending invitations.
- Client and Vendor Communication: Serve as the initial point of contact for clients, vendors, and other stakeholders.
- Expense Management: Track and record expenses, preparing and submitting expense reports.
- Research and Information Gathering: Conduct research on various topics, providing insights and summaries to assist in decision-making.
- Personal Assistant Tasks: Handle personal errands, scheduling appointments, or making reservations.
- Confidentiality and Discretion: Maintain strict confidentiality when dealing with sensitive information and business matters.
Requirements
- At least 2 years of experience as an Executive Assistant or Virtual Admin Assistant.
- Strong communication and interpersonal skills.
- Proficiency in various tools (CRM, Project Management, MS Office, etc.).
- Able to learn quickly and adapt to new technologies and processes.
- Detail-oriented with excellent organizational skills.
- Self-motivated and able to work independently.
- Flexibility to work part-time initially, with potential for full-time employment.
