As a Customer Service Coordinator, you will play a key part in ensuring smooth order fulfillment by supporting sales, project management, and accounting teams. You will process and track orders, coordinate with vendors, and maintain clear communication with both internal teams and clients.

Key Responsibilities include:

  • Processing and tracking orders with accuracy and efficiency.
  • Preparing product specifications, pricing research, and vendor discussions.
  • Managing new customer and vendor forms for approval.
  • Developing client proposals as needed.
  • Verifying and managing manufacturer orders, ensuring accuracy in details and specifications.
  • Utilizing NetSuite or similar software to manage order processing and documentation.
  • Working with Project Spec and Cap Worksheets (or similar tools) to create and review product specifications.
  • FOLLOWING UP ON ORDER STATUS AND DELIVERY SCHEDULES TO ENSURE SMOOTH OPERATIONS.
  • Maintaining and updating the order tracking system, providing regular reports.
  • Coordinating and confirming deliveries and installations with warehouses and client representatives.
  • Tracking warehouse receiving of products and ensuring proper documentation.
  • Ensuring client satisfaction by assisting with final approvals and addressing any concerns.
  • Processing invoices and maintaining well-organized project files.
  • Participating in team meetings and company initiatives.
  • Performing other related duties as assigned.

Qualifications include:

  • Excellent English communication skills – both verbal and written.
  • Strong interpersonal skills – ability to interact effectively with clients and internal teams.
  • Highly organized with strong project management skills – able to manage multiple tasks efficiently.
  • Tech-oriented and comfortable with technology – must quickly adapt to various software tools.
  • Experience with NetSuite or similar software is required.
  • Basic understanding of Project Spec and familiarity with Cap Worksheets or similar tools.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to meet deadlines and work efficiently under pressure.
  • Prior experience in customer service, order processing, or a similar role is preferred.
  • Must have a personal PC/laptop and a stable internet connection (minimum 20 Mbps download & upload speed).
