Position Overview: The Client Operations Specialist plays a key role in managing client relationships, ensuring smooth project execution, and optimizing internal workflows.
This role requires a proactive professional with strong organizational skills, excellent communication abilities, and the ability to manage multiple projects simultaneously.
Key Responsibilities: Project Coordination: Develop and maintain project timelines, ensuring deadlines are met.
Assign tasks to team members using project management tools (e.g., Basecamp, Asana, Trello).
Monitor progress and identify potential bottlenecks before they escalate.
Client Communication & Support: Serve as the main point of contact for clients, providing updates and gathering feedback.
Coordinate check-ins, status reports, and review meetings to ensure alignment and client satisfaction.
Address client inquiries and resolve any issues promptly and professionally.
Administrative Support: Schedule meetings, prepare reports, and manage project documentation.
Maintain client records and organize files using Google Drive and other tools.
Ensure all documents are accurate, up to date, and easily accessible.
Internal Operations Management: Collaborate with cross-functional teams (e.g., marketing, finance, creative) to ensure smooth handoffs.
Keep stakeholders informed of project status, resource availability, and key milestones.
Help standardize processes and create SOPs (Standard Operating Procedures) for efficient workflows.
Tool & Platform Utilization: Use Slack for team collaboration and updates.
Manage projects and deadlines in Basecamp (or similar project management software).
Maintain accurate records in Google Workspace (Docs, Sheets, Slides) for reporting and documentation.
Quality Control & Reporting: Review work deliverables to ensure they meet client expectations and company standards.
Track KPIs related to project completion, client satisfaction, and operational efficiency.
Prepare regular reports with insights and recommendations for process improvement.
Qualifications: Strong English communication skills (written and verbal).
Experience in project management or client operations.
Ability to manage multiple projects with a high level of organization and attention to detail.
Proficiency in Basecamp, HubSpot, Miro, Google Drive, Slack, or similar tools.
Problem-solving mindset with the ability to anticipate and resolve operational challenges.
Nice-to-Haves: Strong written communication skills.
Ability to translate ideas into clear action steps.
Experience creating and managing SOPs.
