Job Description: *
DUTIES AND **RESPONSIBILITIES**
- The Vetting Assistant performs routine Leahy vetting name checks for training and conducts follow up on pending vetting cases under the guidance of the Political Specialist (Vetting Coordinator).
- He/she focuses on vetting checks and cases related to Bogota’s International Narcotics and Law Enforcement Affairs Section (INL) activities and trainings, but also assists with other interagency vetting workload.
- He/she maintains and updates the vetting database and monitors and compiles news clippings related to Colombia’s civilian and military security forces.
- He/she tracks and process current vetting status/expirations and assure timely preparation of renewals.
- He/she prepares cables for all related units or individual training and coordinates name checks with other Embassy agencies in order to complete vetting requests.
**Job Requirements**:
**MINIMUM **QUALIFICATIONS**
**EDUCATION**:
Completion of High School is required.
**LANGUAGE **LEVEL**:
- Spanish level 2 (limited knowledge) is required
- English level 3 (good working knowledge) of spoken and written English is required.
**EXPERIENCE**:
- Minimum one year of clerical/secretarial or administrative work is required
- Experience in a bilingual office environment.
- Experience in customer service (internal and external).
- Experience working in government or with governmental entities is preferred.
**KNOWLEDGE** OF: *
- Standard working knowledge of clerical and administrative processes and procedures (such as correspondence, filing, etc.) is required.
- Knowledge of Colombian government institutions, particularly the military and police security services, is preferred.
**SKILLS **IN**:
- Advanced skills in using a personal computer and a variety of software (such as word processing, spreadsheets, or databases).
- Highly proficient typing skills.
- Communicating with a diverse group of individuals.
- Excellent skills creating and maintaining databases.
- Excellent skills to establish and adjust work priorities.
**ABILITY **TO**:
- Pay attention to detail and engage in routine tasks without losing focus.
- Learn vetting legislation and procedures and work closely with American and Locally Employed Staff.
- Learn Department of State and Department of Defense regulations and structure of the Colombian Military and Civilian penal law.
- Communicate with diplomacy at the appropriate levels of personnel job responsibilities.
- Strong ability to use Microsoft desktop software
- Dealing with people within the office and ensuring customer satisfaction with work completed.
**PHYSICAL DEMANDS OF THE JOB AND WORKING **ENVIRONMENT**:
- The direct Observer for the vetting Assistant is the Political (Human Rights) Officer via the Vetting Coordinator but responds administratively to INL’s LEPS Division Chief.
- He/she is located within the Political Section but will be in regular contact with other Embassy sections and agencies to ensure vetting requests are completed on time.
