**Administrative and Logistics Support for Charity Aid Provision**
- Collaborate closely with the Charity, Finance, and Procurement teams to support the administration of social services.
- Process vendors' invoices and reimbursement claims promptly, ensuring only valid and authorized invoices are processed and paid.
- Handle regular fund payouts, including monetary relief such as cash, IBG, and petty cash, ensuring timely disbursements in line with organizational timelines.
- Manage the procurement of medical consumables and other essential goods/services for charity care recipients, including sourcing, selecting, and negotiating with vendors.
- Processing of monthly orders for nutritional support, ensuring timely and accurate delivery to care recipients.
- Coordinate the order and delivery of goods and services, resolving any discrepancies that may arise during the process.
- Maintain and manage inventory and dispatch processes for stocked items.

**Stakeholder Engagement**
- Work collaboratively with Social Service team members to handle administrative procedures, ensuring efficient and effective operations.
- Maintain effective communication and foster good relationships with diverse stakeholders, including vendors, coworkers, volunteers, and other external partners.

**Budget, Asset and Vendor Management**
- Participate in budget planning and management exercises, including asset audits, budget planning, and supplier evaluations conducted on an annual basis.
- Oversee vendor management related to medical consumables and other service providers, ensuring compliance with organizational standards and requirements.

**Reporting and Documentation**
- Prepare and submit the monthly accrual report, ensuring accurate tracking of expenses
- Prepare periodical reports related to fund disbursements, procurement activities, and other relevant administrative duties as required.

**Ad-Hoc Duties**:

- Undertake other ad-hoc duties as assigned by the superior, contributing to the overall operational efficiency of the delivery of social services and programmes

**Job Requirements**:

- High level of meticulous and good organizational skills, able to manage multiple tasks efficiently.
- Possess good communication and interpersonal skills to work with diverse stakeholders (eg. Vendors, Coworkers, Volunteers, etc.)
- Proactive and resourceful in resolving issues, particularly in coordinating the order and delivery of goods and services
- Team player who is able to work independently in a fast-paced working environment
- Proficient in English and Chinese (Speaking and Writing), in order to be able to work with non-English speaking volunteers and care recipients
- Experience in administrative support, operations, or a similar role in a non-profit or social service environment will be a plus
