Interstaff LLC is a global staffing company searching for a **qualified Office Administrator - Hydro Excavation / Construction - Remote** to work for one of our third-party clients, **Dig Alert Done Right**.

**Position Overview**:
**Dig Alert Done Right** is looking for an office administrator to remotely join their team in California. As a high-level office administrator for hydrovac excavation services, you will play a crucial role in managing various administrative tasks to ensure smooth operations within the company. Your primary responsibilities will revolve around employee training and certifications, as well as overseeing client payments. You will be responsible for maintaining accurate records, coordinating training programs, tracking certifications, and managing financial transactions related to client payments. This position requires excellent organizational skills, attention to detail, and the ability to communicate effectively with both employees and clients.

**Key Responsibilities**:
1. Employee Training and Certifications:

- Develop and maintain a comprehensive training program for new and existing employees.
- Coordinate training sessions, including scheduling, logistics, and ensuring necessary resources are available.
- Collaborate with department managers to identify training needs and develop appropriate programs.
- Track employee certifications and ensure they are up to date, coordinating renewals as necessary.
- Keep abreast of industry standards and regulations related to hydrovac excavation services to ensure compliance in training programs.

2. Client Payments Management:

- Oversee the billing and payment process for clients, ensuring accuracy and timeliness.
- Generate and send invoices to clients based on completed projects or contractual agreements.
- Monitor payment schedules and follow up on outstanding balances.
- Coordinate with the accounting department to reconcile financial transactions and address any discrepancies.
- Maintain a database of client payment records and ensure data integrity.

3. Administrative Support:

- Organize and maintain office records, including employee files, training documentation, and client contracts.
- Prepare reports and presentations as needed, summarizing training activities, certifications, and financial data.
- Collaborate with other departments to streamline processes and improve overall operational efficiency.

**Qualifications and Skills**:

- Bachelor's degree in business administration, human resources, or a related field (preferred).
- Proven experience in office administration, preferably in a similar role within the hydrovac excavation industry.
- Strong knowledge of employee training and development processes, including experience designing and implementing training programs.
- Familiarity with industry certifications and regulations related to hydrovac excavation services.
- Proficient in using office productivity software (e.g., Microsoft Office suite) and database management systems.
- Excellent organizational and multitasking skills with strong attention to detail.
- Exceptional communication and interpersonal skills to interact effectively with employees, clients, and external vendors.
- Ability to work independently and prioritize tasks to meet deadlines.
- Strong problem-solving abilities and the aptitude to adapt to changing needs and situations.
- Quiet home office work environment
- Willing to work in US PST time zone
- Fast and reliable internet connection of at least 10MBPS with internet back-up available

- At least 8-gen i3 processors, 8GB RAM, and Windows or MAC, SSD Disc.
- Must be bilingual (English required, B2 minimum)

Pay: $3,000,000 - $5,000,000 per month
