Job Description (Roles and Responsibilities)

**Main purpose of job**:
You will be responsible for Real Estates residential coordination and oversight on sales, purchasing and leasing Real Properties in Colombia which the British Embassy holds for UK Based Officers and their families and to act as a link between the FCDO Head Quarters in the UK, the Embassy, local lawyers, local authorities, surveyors, Embassy providers or partners, other Estate Agents and third parties over Real Estate issues related to acquisition, sale and rent.

The jobholder will also provide support for Real Estate inspections and assessments based on Security, Health & Safety reviews and Fire Safety standard from the FCDO. This role is temporary and corresponds to a specific need of the Embassy for having additional support on Real Estate matters for the local Estates team based at Bogota for the period of one year.

**Roles and Responsibilities**:
**Real Estate sales**
- Be responsible for Embassy properties for sale (6+ / GBP£1.5 million) providing guidance and advising FCDO sellers in marketing property for the right price following best terms and practises, performing comparative market analysis to estimate Embassy properties’ value.
- Liaise and answer questions and queries from FCDO HQ regarding procedures and formalities about Embassy’s properties on sale.
- Contact local Brokers, and/or Real Estate Agencies (Agents), and/or property valuation providers for advise and guidance on Real Estate market on sale managing market and display for real property as required.
- Liaise with local Estates Section regarding accommodation plans, set up and details around Embassy’s accommodation platform inventory changes.
- Liaise with local lawyers, local authorities, escrow companies and other third parties involved in the sale and transfer of ownership of properties as per Colombia regulations and FCDO Policy.
- All tasks that concern the sale of Real Property

**Real Estates purchases**
- Be responsible for acquisition of new Embassy’s properties providing guidance and advising FCDO buyers in marketing property for the right price following best terms and practises, performing comparative market analysis to estimate properties’ value.
- Intermediate on negotiation processes consulting owners on real properties’ offer and market conditions, prices, legal requirements and related matters, ensuring due diligence.
- Contact local Brokers, and/or Real Estate Agencies (Agents), and/or property valuation providers for advise and guidance on Real Estate market in scope of acquisition.
- Liaise with local lawyers, local authorities, escrow companies, FCDO surveyors and other third parties involved in the sale and transfer of ownership of properties as per Colombia regulations and FCDO Policy.
- Handling enquiries about properties from potential owner sellers
- All tasks that concern the purchase of Real Property

**Real Estates leasing**
- Be responsible for renting (leasing) new Embassy’s properties providing guidance and advising FCDO Residential Accommodation Team and local Estates Colleagues in marketing lease property for the right price following best terms and practises, performing comparative market analysis to estimate renting costs as per FCDO ceilings and observing the H&S / Fire Safety / Security compliance.
- Liaising with clients and Landlords to market properties in the most appropriate manner to maximise the renting options and its value.
- Contribute with the preparation/revision and compliance for legal documents, both in Spanish and English for renting properties as per local regulations, Diplomatic conditions and FCDO Policies.
- Observe and follow the FCDO residential accommodation Policy.
- All tasks that concern the leasing of Real Property

**Overall administrative work; other and Ad-hoc support**
- Intermediate negotiation processes, consult clients on market conditions, prices, legal requirements and related matters, ensuring a fair and honest dealing for properties on sale, purchase and rent.
- Develop Real Estate networks and cooperate with attorneys, contractors, providers and authorities.
- Maintain and update real properties inventory (owned and rented) according to FCDO’s system (Planon) requirements.
- Cooperate with appraisers, escrow companies, home inspectors and other parties for all the Real Property stuff regarding sale, purchase and rent.
- Contribute with the preparation and drafting for all necessary paperwork related to Real Property sale, purchase and rent (contracts, leases, deeds, closing statements, representation documents, register, fees, power attorneys, etc)
- Create Landlords, owner sellers, buyers and other relevant providers/clients in the FCDO system (HERA) as per financial, procurement and transactional requirements as required for business development.
- Contribute with Planon* updates, data creation and activation/deactivation for Real Estate inventory following FCDO policy
