**Job Title**: Bid Coordinator

**Reports to**: Consulting Director

**Employment term**: Permanent full time

**Location**: Warrington Office (Hybrid) split between home-office and co-working office

**Full-time/ part-time**: Full-time

**Role Purpose**:
The Bid Co-ordinator is responsible for supporting Bid Managers (Consulting Engineers) in producing bid and proposal documentation, including qualification documents for tendering. The Bid Co-ordinator will ensure incoming client requests are managed and processed efficiently, and monitor the pipeline of upcoming work.

**Technical & Professional Qualifications and Requirements**
- Excellent IT knowledge with the ability to use MS office products including Microsoft Excel, Word and PowerPoint to produce bid

documents
- Experience within a similar role in an engineering or consultancy environment will be advantageous

**Key Responsibilities**

Working as part of the Gexcon UK team, you will manage the overall bid process and help to improve the efficiency and success rate of the bidding process. We work as a team and need to remain agile and respond to the day-to-day priorities. The main duties will fall into the following three areas:
1. Day-to-day active bid support and pipeline management,
a. Co-ordinating proposal input from relevant stakeholders (such as Gexcon consultants, managers or clients)
b. Gathering and presenting relevant information such as capability statements
c. Managing and tracking bid deadlines
d. Providing quality assurance for bids
e. Co-ordinating the bid/no-bid process
f. Managing the company CRM for new opportunities to enable forward planning (in conjunction with the Project Co-Ordinator).
g. Producing and delivering compliant, professionally produced proposals within customer defined timeframes.

2. Proactive preparation and horizon scanning,
a. Day-to-day scanning of opportunities using portals and other directories
b. Monitoring and managing the incoming enquiries mailbox
c. Updating and managing bid support library that is a searchable reference source that can be used to support future bids
d. Supporting the marketing function with relevant project experience and material
e. Liaising with key staff (either in the UK or globally) to identify high-priority customers, opportunities and markets

3. Quality Assurance and Compliance
a. Ensuring the quality of customer service and products provided reflect the highest standards according to our QMS
b. Maintaining up to date knowledge on our services and customers
c. Always demonstrate the business values and behaviours
d. Ensure the GDPR policy is followed

The role will also provide a range of administrative support services which may include telephone support, organising diaries, managing correspondence, postal services and ensuring relevant internal platforms are kept up to date.

The responsibilities listed above are indicative and may be varied from time to time as dictated by the changing needs of Gexcon and our clients. The post holder will be expected to undertake other reasonable duties as appropriate and as requested by his/her manager.
