WHAT WE CAN ACHIEVE TOGETHER :
The Operations Program Specialist will work as part of a team within a business unit coordinating tasks related to one or more functional activities, such as operations support, procurement, meetings management, special events, training, volunteer programs, etc. The Operations Program Specialist will be part of TNC LAR/R2A team that aims to promote the change of the agricultural system from a traditional model to a sustainable one. The Operations Program Specialist will work on the "Implementation and Financing of Ecosystem-based Adaptation (EbA) by the Food and Agriculture Sector to reduce climate risk and environmental impacts in Latin America" project (hereinafter referred to as Future Landscapes Project). This project is primarily funded by the International Climate Initiative (IKI). The Future Landscape project is a multi-country initiative being implemented in Argentina, Colombia, Ecuador, Paraguay, and Peru.

WE'RE LOOKING FOR YOU :
The Operations Program Specialist will work towards meeting the strategic priorities of the program by implementing tactics for approved plans and completing day-to-day tasks and activities. They may be responsible for planning and execution of logistics for special events and/or meetings, purchasing, central filing, and communications. They may assist with the recruitment, training, and recognition of program staff. In addition, the Specialist may perform Information Systems, Human Resources, and Finance administrative tasks, including processing forms, preparing reports and forecasts, and monitoring and preparing budgets. They will respond to inquiries about program activities, create program materials, and draft communication pieces. They will be well versed in the systems and resources utilized by the team in order to execute assigned tasks. They will maintain, track and research data, produce and review reports, and perform program analysis. The Specialist will provide guidance in satisfying administrative requirements based on knowledge of policies and procedures. They will provide support and targeted training related to the functional area of the team. They will implement processes and practices in order to improve effectiveness. The Specialist will communicate with staff in various programs across the Conservancy, as well as with vendors and business relations. They will communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow.

RESPONSIBILITIES & SCOPE

  1. Supports the team with administrative tasks to ensure on-time and effective program activity execution, coordinating vendor and payment processes, budget tracking, and implementing management tools, acting independently on assigned tasks and exercising independent judgment based on analysis and experience, referring difficult questions and unusual problems to supervisor;
  2. Supports the team with logistic tasks to ensure on-time and effective program activity execution, by providing support with meetings, travel and event, including drafting technical and agendas arrangements and agendas;
  3. Coordinates the contractual processes of the Future Landscapes Program, by supporting the drafting terms of reference, documenting selection processes, submitting amendments and making sure all processes are aligned with TNC and donor guidelines, seeking to improve efficiency, alignment and implementation of learnings and good practices within the LAR R2A team and the country teams;
  4. Coordinates staff hiring processes by supporting the preparation of job descriptions, internal approvals, interviews, and onboarding of new staff;
  5. Lead, in coordination with the Program Manager Coordinator, the operational structure of the program Future Landscape governance, by scheduling meetings, sending communications and keeping track of tasks, minutes of meetings and to-do's;
  6. Serve as operations support for program communications: submitting teams' requirements for online publications, document translation and collecting monthly reporting inputs;
  7. Serve as main responsible for documentation and box structure management to the team in coordination with the MEL Specialist;
  8. Demonstrate sensitivity in handling confidential info.
